How to use this tool
The process for Team Leaders
- Complete the following tasks in the sections below, so your team can begin:
- Review "My Account" and change your username and/or password, if necessary. Add any information that you want to appear in "My Team"
- Visit "Reviewer Accounts" and create accounts for the people that you want to participate in this self-study process as reviewers. Visit "Institution Profile" and tell us a bit about your institution. If you create a profile for your institution, you will be able to compare your responses to the responses of similar institutions.
- Go to "Review Cycles" and name your first review cycle (e.g., Fall 2011). The "Review Cycles" feature allows you to compare your progress across time.
- Decide if you will solicit reviewer comments before answering benchmark questions or if you will respond to questions first and then engage the rest of the team in a review and discussion of your choices. Whichever you choose, don’t forget to communicate this to the team. Once you are ready to answer questions, proceed to step three.
- Answer Benchmark questions. Update the "Benchmark Status" and possibly send a global message(in the Welcome section of the Start tab) to notify your team when a Benchmark or Indicator is ready for review.
- Monitor the progress of your team members and review your team member's comments using the" Recent Activity" sections and status tables at the beginning of each benchmark. You may want to schedule a phone conference or a face-to-face meeting with the entire self-study team to expedite a discussion of certain items.
- Based on the comments from your team members, make any necessary changes to your responses. You may need to solicit feedback and change responses multiple times.
- When you have completed a Benchmark or Indicator, you may want to visit the "Results and Compare"section to view your institutional performance.
- Finally, work with the self-study team to create an action plan, with goals and priorities for institutional improvement on web accessibility. The "Action" tab will walk you through a process designed to identify desired outcomes to achieve by the next cycle of assessment. If you used the "Include this benchmark in my Action Plan" checkbox during the self-study process, any notes you made will automatically be moved into the action plan.
- After a period of time, the process should be repeated. At this time, go to "Review Cycles" at the bottom of the Start tab to create a new review cycle.
The process for Reviewers
- Update your personal information in the "My Account" Section
- Review content based on your Team Leader's instructions. When reviewing responses to questions, if you feel that the selected response best represents the institution, accept the response by using the appropriate checkbox. If you do not accept the response, or if you feel that the response requires further discussion, add a comment. Only a team leader can change a response.
- If the team leader changes a response after you have already checked “Accept response”, the question will be reset and you will need to accept or comment on the new response.
- Repeat this process of reviewing and discussing responses as necessary. Monitor the progress of your team members and review your team member's comments using the "Recent Activity" sections and status tables at the beginning of each benchmark.
- Once the benchmarking process is complete, you will work with your team to set an action plan of goals and priorities for institutional improvement on web accessibility.
Helpful tips:
- Before beginning, you may want to discuss a strategy with your team. For example, you may want to determine what kind of information should be included in the status field or decide whether the team leader will answer questions or solicit comments first.
- Don't forget to update your personal status at the top of the Start tab. You can keep track of status of your team members in the "My Team" Section.
- Although this process can be completely asynchronous, you may want to consider meeting with your review team—over the phone or in person—to discuss areas where there is not complete agreement or to develop your institution's action plan.
